You get the call on a Tuesday afternoon. A county safety alert just dropped. An unexpected audit is happening Thursday. Your team needs 12 full sets of head-to-toe PPE—hard hats, safety glasses, gloves, respirators—by tomorrow morning.
I've been on both sides of that call. In my role coordinating PPE supply for industrial clients over the last 7 years, I've handled 400+ rush orders. Some same-day. Some with a 3-hour window. I learned the hard way that having a pre-built emergency kit isn't just nice—it's the difference between a smooth save and a $12,000 panic buy.
Here's a 6-step checklist I now use for every last-minute scenario. It's based on what actually works, not what looks good on paper.
Step 1: Know Your Minimum Viable Inventory
You can't build an emergency kit if you don't know what "minimum" looks like. I define it as: the smallest amount of gear that keeps a 10-person crew safe for 48 hours.

Here's my rule of thumb:
- N95s are for speed. You can grab a box, hand them out, and everyone's protected in minutes. Cost per unit: cheap. Fit testing? Quick. But they're single-use, and if the environment requires a higher level of protection, you're under-gunned.
- PAPR systems are for serious scenarios. They offer higher protection, are reusable, and last longer. But they take time to set up—batteries need charging, hoods need fitting. In an emergency, if you haven't pre-charged the batteries, you're losing hours.
